Preparing your data for Importing into GrowthZone
Getting the data “right” in GrowthZone is critical. It is key, not only for the successful operation of GrowthZone after onboarding, but also for successful learning of the software during onboarding. Our expectation is that your data is loaded within the first two weeks of your project.
Below are key questions to be addressed before starting your project:
- Can you identify your active members?
- Who owns your memberships – the individual, the organization or both?
- Do you have accurate start and expiration dates for each membership?
- Are membership fees clearly defined?
- Have duplicate contacts been eliminated?
- Have you identified key Contact attributes (i.e., minority-owned business, membership criteria such as # of employees, annual revenue, etc.)?
- Can you identify your Primary and Billing contacts for each member?
What is Clean Data?
Before we jump into things, let’s talk about what “clean data” actually is. We at GrowthZone feel that it is important to define what we mean when we say, “clean data”. In simple terms we think clean data boils down to few key characteristics – accurate, complete, consistent, and unique.
Accurate
Are your organization and individual records accurate? Things to consider here are if fields such as name, address, phone, and email are up to date.
Complete
Are there any fields that are missing? This is another area to double check if any fields (name address, phone, and email) have missing information.
Consistent
When possible, it is good to ensure uniformity of your records. Are your entries all formatted similarly? This will help ensure a smooth data import.
Unique
Are there any duplicate records (individual or organization) in your data? Having duplicates in your data import will lead to duplicates in your new database.
A few examples of data cleanup:
- Remove duplicates
- Identify old data that can be archived
- Review and address any open invoices
We will either be designing a new website for you OR integrating GrowthZone into your existing website. Please gather the details on who manages your website domain and hosting.

Please block time on your calendar for weekly meetings and for completion of weekly exercises and tasks.
Compile the following information:
- NRDS Refresh files
- Identify where you will retrieve your MLS data (i.e., from the MLS or from your previous association management software)
- Determine your RETS credentials/contacts
After Your Kick-off Meeting
The following items will be needed shortly after your Kick-off meeting:

Confirm your organization's accounting method whether cash basis or accrual. Helpful Guide here
Fee Items are your saleable items (ie: Membership, Golf Sponsorship, networking event, coffee mug).
Be prepared to provide a summary of your membership dues structure and breakdown. Many systems do not provide flexibility in your membership dues structure. However, GrowthZone allows you to define things such as membership levels. Below is an example of what Membership Levels can look like (in this example, we have a single membership type, but it can be set up with different pricing levels based on employees, units, etc.):

If you plan on using the GrowthZone Pay payment processing, be ready with the following:
- Bank routing number
- Account number
- Tax ID number
- Person(s) in charge of billing/accounting
Watch appropriate Role-Based Training and review the On-Demand Training options
Prepare key information for your integrations:
- NRDS Refresh file
- Retrieve your MLS data (from MLS or previous association management software)
- RETS credentials/contacts
- Lockbox member/office files
Define your processes for memberships to aid us in your setup:
- Who can pay for MLS dues
- Who should receive the invoice
- What is the renewal month
- What is the billing frequency
- How/if there will be prorating
- Other __________________
